1. The Commitment to Execution

Neurvana Studio provides Clinical Operations as a Service. Your monthly retainer (Tier 144: 333: or 888) covers the ongoing development: hosting: and stewardship of your Practice Blueprint. Because we allocate engineering resources and initiate n8n workflow configurations immediately upon signup: we require active participation from the Practice Owner to complete the initial setup.

2. Onboarding Timeline & Stagnation

• Active Window: Practices are expected to complete the 7-step Onboarding Sequence within 14 business days of the initial payment.
• Stagnation Clause: If onboarding remains incomplete for more than 30 calendar days due to a lack of Practice Owner input: the project will be moved to "Inactive Status."
• Reactivation: Moving a project from Inactive to Active Status requires a one-time $150 Administrative Recovery fee. This fee covers the cost of re-allocating development resources and re-verifying API connections.

3. Refund & Cancellation Protocol

• The 7-Day Precision Window: A full refund of the first month's retainer is available within 7 days of payment: provided the "Step 7: Signatory Agreement" has not been executed.
• Work-in-Progress (The Setup Penalty): Our model amortizes development costs into your monthly retainer. If a refund is requested after Step 3 (Referral & Intake Logic) has been submitted but before the site is live: a 50% "Setup Fee" is retained from the initial payment to cover the architecture and data entry labor already performed.
• Post-Deployment: Once the Digital Front Desk is live or the "Build Workflow" has been triggered via Step 7: no refunds are issued for the current billing cycle.
• Cancellation: You may cancel your stewardship at any time. Your Practice Blueprint and managed website will remain active until the end of the current billing period: at which point all automation logic and hosting will terminate.

4. Data Ownership: "Your Data, Our Logic"

In alignment with our Terms and Conditions: the Clinic retains full and exclusive ownership of all patient data: lead information: and clinical content. Neurvana AI LLC retains all rights and ownership of the proprietary n8n workflows: automation logic: and "Relief-First" code used to power your Practice Blueprint.

5. The Accuracy Rule (Human-in-the-Loop)

Neurvana Studio acts as your Operations Guide. While we use advanced tools to draft your systems: the Clinical Signatory (Practice Owner) holds final responsibility for the accuracy of all public-facing clinical information. Per our "Human-in-the-Loop" protocol: you are responsible for the final review and entry of any data into your EMR systems (such as Jane or SimplePractice). Our systems organize: you sign.
